A call is stuck with no summary, or no opportunity was created

Symptom: the call is listed, but there is no transcript, no AI summary, or no load opportunity — and it has been sitting there a while.


What is supposed to happen

  1. The call ends and the recording is stored.
  2. The recording is transcribed.
  3. The AI reads the transcript, fills in the caller details and summary, and sets the call to Needs human review (or Spam).
  4. If the caller was a broker offering freight, a load opportunity is created.

Normally the whole chain finishes within a minute of the caller hanging up.

Check these in order

The call is very recent

Give it a minute and refresh. A long message takes longer to transcribe than a short one.

The call is short or silent

A caller who hung up during the greeting, or one who was on hold the whole time, produces no usable audio. There is nothing to summarize, and this is working as designed. Play the recording to confirm — if it is silence, that is your answer.

The recording is unintelligible

Open the call and play it. Truck cabs, speakerphones, and bad cell reception defeat transcription. If you cannot make out the words yourself, neither can the system.

What to do: listen, type the details into a new opportunity by hand, or use Dictate a load and say them out loud. Then mark the call resolved.

A summary exists but no opportunity was created

An opportunity is only created when the caller was a broker offering freight. Check the caller type on the call:

  • A driver calling in, a shipper, a mechanic, or a factoring company will not produce an opportunity. That is correct.
  • If the caller type is wrong — a broker read as a shipper — create the opportunity manually from the call, and report the miss so the classification can be improved.

The call is stuck at "In progress"

In progress means processing started and did not finish. Anything sitting there for more than about ten minutes is genuinely stuck rather than slow.

If one call is stuck, the recording was probably the problem. If several calls in a row are stuck, background processing is likely down — see Nothing seems to be processing in the background.

Re-running the summary

The call detail page has an option to summarize again. Use it if:

  • The call was stuck and you want to retry it.
  • The transcript is there but the summary is empty.

If it fails a second time, contact support rather than repeating it — a repeated failure is a fault, not a fluke.


When to contact support

Send the call's date and time, the caller's number, and whether the recording plays back clearly. Say whether it is one call or a run of them — that distinction points at two completely different causes.
