How to review a call and turn it into a load opportunity
Who this is for: dispatchers. Time: about a minute per call.
Every inbound call is transcribed and read by the AI before you see it. Your job is to confirm what it found and decide what happens next.
1. Work the Calls queue
Calls lists every call, newest first. Each row shows the caller, the caller type the AI assigned, an urgency, and a status:
| Status | Meaning |
|---|---|
| New | Just landed; not yet processed. |
| In progress | Being transcribed and summarized. |
| Needs human review | Processed. This is your queue. |
| Resolved | You've dealt with it. |
| Spam | The AI recognized a robocall or solicitation. |
| Archived | Filed away. |
Open a call to see the transcript, the recording player, the AI summary, the extracted fields, and any risk flags.
2. Check what the AI extracted
The summary panel shows caller name, company, MC number, urgency, and a recommended action. Read the transcript alongside it for anything important — the AI is accurate on clear audio and less so on a noisy cab or a heavy accent.
Anything you correct on the opportunity sticks; the AI never overwrites a field a human has edited.
3. Find the opportunity it created
If the caller was a broker offering freight, an opportunity already exists. It's linked from the call, and it also appears under Load Opportunities with source Broker call.
If no opportunity was created and one should have been — the caller was mumbling, or the AI read them as a shipper — you can create one by hand from Load Opportunities → New, or paste/dictate the details (below).
4. Other ways an opportunity gets created
| Source | How it arrives |
|---|---|
| Broker call | Inbound call, as above. |
| Broker email | From a connected mailbox, or a broker email forwarded to your intake address. |
| Load board | Imported from a search profile. |
| Manual | Typed in, dictated, or pasted from an email body. |
Dictate a load lets you talk the details in instead of typing — useful when you took the call on your cell and want it in the system before you forget.
5. Fill the gaps before you price it
An opportunity needs a rate and a distance before the profit calculator will run. Two helpers:
- Calculate miles estimates road miles from the pickup and delivery city/state. It needs both city and state on each end, spelled correctly.
- Ask the broker — if key fields are missing, the system can call the broker back and ask for exactly the missing ones (MC#, rate, pickup time, equipment, weight, commodity). You can also cancel a scheduled callback before it fires if you'd rather call yourself.
6. Mark the call resolved
Once the opportunity is on its way, set the call status to Resolved so it leaves the queue. The call, the opportunity, and everything that follows stay linked on the load's timeline.
