Troubleshooting
Nothing seems to be processing in the background
Symptom: several automatic things stopped at once — call summaries are not appearing, the morning check-ins did not go out, email is not syncing, the daily report is missing, overdue invoice alerts are silent.
What runs on its own
These all happen in the background, on a schedule or in response to an event:
| Work | When |
|---|---|
| Transcribing and summarizing calls | As each call ends |
| Reading uploaded documents | As each upload lands |
| Parsing driver check-in replies | As each reply arrives |
| Escalating late check-ins | Every few minutes |
| Morning check-in round | At your configured time |
| Syncing connected mailboxes | Every couple of minutes |
| Load board searches | Every few minutes |
| Overdue invoice alerts | Several times a day |
| Unsent-invoice nudges | Several times a day, on the same sweep |
| Daily report | Hourly, rolling up your day |
| Notification digest email | Your local 08:00 |
If one of these is misbehaving, it is usually specific — see the article for that feature. If several are silent at the same time, background processing itself is the problem.
1. Is it one thing or many?
Quick test, in this order:
- Open the most recent call. Does it have a summary?
- Settings → Email: is the last sync time recent?
- Load Board → Profiles: is the last searched time recent?
All three stale is a strong signal. One stale and two fresh points at that one feature.
2. Check your subscription
Background work is deliberately paused for accounts that are cancelled, unpaid, past due beyond the grace period, or on an expired trial. The app keeps working for reading and manual entry; the automatic parts stop.
Billing shows your current status. See Billing, trials, and features that stopped working.
3. Look at your notifications
When a piece of background work fails for good, it tells you rather than failing silently. You will see an urgent notification such as:
A call could not be processed — the AI could not finish reading this call, so no load opportunity was created. Open the call and re-run intake, or read the transcript directly.
or, for anything else:
A background task did not finish — the task gave up after several attempts. Support can see the details.
These are worth reading rather than dismissing. The first kind usually has a link straight to the record, and often you can re-run it yourself.
4. What still works meanwhile
Nothing is lost while background work is stalled. Calls are still recorded, emails still arrive in your own mailbox, documents still store, and everything you enter by hand is saved normally. When processing resumes, queued work picks up.
If you need to keep moving right now: read the call recording and enter the load by hand, or dictate it.
When to contact support
If several background features are stale and your subscription is in good standing, that is a fault worth reporting immediately. Send:
- Your company name.
- Which features are stale, with the last-known-good times.
- Any urgent "did not finish" notifications you have received.
