Troubleshooting
The AI got the load details wrong, or a step failed
Symptom: the rate is off by a digit, the pickup city is the delivery city, the broker's company is wrong — or a screening, summary, or reply draft failed outright.
Wrong details: fix them, they stick
Every field the AI fills is editable, and nothing the AI runs later overwrites a value a person has corrected. Fix it on the opportunity or the load and move on.
Where the mistakes come from, in rough order of frequency:
| Cause | Looks like | What helps |
|---|---|---|
| Bad audio | Numbers wrong, names garbled, half the fields blank | Play the recording. If you cannot make it out, neither could the system. |
| The caller never said it | Blank fields, low confidence | Use Ask the broker to call back and collect exactly what is missing. |
| Ambiguous speech | "Twenty-two fifty" read as $22.50 instead of $2,250 | Correct it. Always sanity-check the rate against the miles. |
| A thin email | One-line offers with a link and nothing else | Open the original thread from the opportunity. |
Check the confidence score. Low confidence is the system telling you it was guessing. Treat those records as a starting point, not as data.
Always verify before you commit money. The rate, the miles, the appointment times, and the MC number are the four that cost you if they are wrong.
Screening or summary failed
If a step reports an error rather than a bad answer:
- Try once more. Most failures are transient.
- If it fails again, do not keep retrying — that will not fix it. Work the load manually and contact support.
A failed screening never blocks you. Price the load with the calculator and make the call yourself; screening is advice, not a gate.
"The request was declined"
Occasionally the AI declines to process something. Usually the source text contained something it treats as sensitive. Nothing is wrong with your account. Work that record by hand.
The load was flagged with a risk you disagree with
Risk flags are prompts to look, not verdicts:
- Broker authority "not found" or "could not be checked" is not an accusation. MC numbers are misheard on the phone and mistyped in emails all the time, and the public lookup can be unavailable. Verify the number and check again. Only "not authorized" or "out of service" is a statement about the broker.
- Equipment mismatch compares the broker's stated equipment against the trailers you have entered. If it is wrong, check Trailers — a missing or mistyped trailer type is usually the cause.
What the AI will never do
Worth knowing when a broker pushes you:
- It will not accept a load or commit you to anything.
- It will not tell a broker a load is booked.
- It will not negotiate a binding rate.
- It will not certify HOS, DOT, FMCSA, insurance, or legal compliance.
Every commitment goes through a person pressing a button.
When to contact support
Send the call or email in question, what the AI produced, and what the correct answer was. Specific examples are what improve the extraction; "it gets things wrong sometimes" cannot be acted on.
