How to invite your team and set roles

Who this is for: owners and admins.


Invite someone

Settings → Team → Invite. Enter their email address and pick a role. They get an invitation link, set a password, and land in your account.

  • An invitation cannot be sent to someone already on your team.
  • A pending invitation can be revoked. Once it has been accepted, revoking does nothing — remove the user instead.
  • Invitations expire. Send a fresh one if someone sat on it too long.

The five roles

What each role can do

Reading is open to everyone on the account — calls, opportunities, loads, drivers, equipment, documents, and invoices are all visible to every role. What differs is who can change things.

Pay statements are the exception. A Driver login sees only its own settlements, never anyone else's. See Run driver pay and dispatcher pay.

If somebody reports a button is missing, check their role first — that is almost always the answer.

Note that a dispatcher can change your operating settings — fuel price, MPG, margin thresholds, check-in timings. Those drive every profit calculation on the account, so it is worth agreeing who owns them.

Working across more than one carrier

A single login can belong to several carrier accounts — this is normal for dispatch services. The account switcher in the top bar moves between them, and everything you see is scoped to the one you are currently in. Data never crosses between accounts.

If a login belongs to no active account, sign-in fails with a message saying so. That means every membership was removed or deactivated — an owner or admin has to invite them back.

Removing someone

Settings → Team → Remove. Their access ends immediately. Everything they did stays in the record: their decisions, their uploads, their audit entries. History is never rewritten by a departure.
