How to upload documents and send a carrier packet

Who this is for: dispatchers, owners, and office staff.

Every document lives in one of three places: on a load, on a driver, or on the carrier (your company). Where it goes decides what the app does with it.

The three scopes

A load document needs a load, and a driver document needs a driver — the app will not let you file a POD with nothing attached to it.

Upload

Drag the file in, or use the file picker, and pick the document type. Photos from a phone are fine — most POD and BOL uploads are a driver's camera roll.

For credentials (CDL, medical card, COI, and the like) also fill in the effective date, expiry date, issuer, and document number where you have them. The expiry date is what drives the expiring-credential warnings on the dashboard, so it is worth the extra ten seconds.

What happens after an upload

The file is stored privately against your company, and then it is read:

• Text is extracted from the document — PDF or photo.
• The AI writes a short summary of what the document is and what it says, and pulls out key fields.
• Anything that looks off is flagged for a person to look at.

A POD is filed as Needs review rather than accepted automatically, on purpose — somebody should look at the signature before it goes to a broker or a factor. Everything else lands as Uploaded.

If a document was unreadable when it arrived — a dark photo, a fax-quality scan — fix the file and re-upload, or use Reprocess to run the reading step again.

These documents are what your factor gets paid on

The rate confirmation and the POD on a load are not just filing. They are the two documents a factor requires before advancing against an invoice, and the Factoring packet card on the invoice merges them with the invoice into one PDF and emails it.

Which means uploading them promptly is worth money. The packet card refuses to send while either is missing — a factor that receives a submission without a POD rejects it rather than asking, and you find out days later.

A fuel receipt or a scale ticket on the same load is not sent to the factor unless it belongs there. A factor's clerk seeing a fuel receipt in a submission asks questions about a packet that was otherwise fine.

Send a carrier packet to a broker

New brokers ask for your setup packet: authority, insurance, W-9, notice of assignment. Instead of digging through email:

1. Carrier Docs.
2. Tick the documents the broker asked for.
3. Send carrier packet — enter the broker's address, a subject, and a note.

The documents go out as email attachments from your account, and the send is recorded on your timeline and audit log so you can prove what you sent and when.

Two limits worth knowing:

• Only carrier-scoped documents can go in a packet. A load's POD is not part of your setup packet, and the app will say so.
• The whole packet is capped at 30 MB. If you go over, send the largest document separately or re-scan it smaller.

Sending requires an outbound email sender to be configured for your account. If it is not, the app tells you the send failed rather than reporting success — contact support if you see that.

Load packets

For paperwork going to a broker or factor about one load, use Load packet PDF on the load. That bundles the load's own documents into a single file.
